Sunday kids check-in

This 210-attendance mainline church checks kids in at the classroom door with Planning Center Check-Ins. Allergy and pickup notes print on the tag. They kept Realm for membership and did not migrate it. Extra cost is $14/month plus two iPads they already had.

What are the exact steps?

  1. Enter kids and parents in Planning Center People once

The kids director enters each child once: name, birthdate, grade, allergy notes, and who is allowed to pick them up. The parent household is created in Planning Center People the same day. They do not type kids into Realm for check-in. Realm still holds membership and pledging. A child who is not in People cannot be checked in, which is the point.

  2. Print allergy and pickup notes on the nametag

Allergy and custody notes are fields on the child record, set to print on the nametag. Teachers read the tag, not a binder in a drawer. The old binder is how a nut allergy sat in the hallway while the child sat in the room. If a note is long, they print it anyway and keep the hallway talk short.

  3. Check kids in at the classroom doors on two iPads

Check-in happens at the two classroom doors, not at a welcome desk in the lobby. One volunteer per iPad: search the parent name, select the kids, print. They tried one lobby station first. The line blocked the coffee and parents left kids without tags. Door check-in takes under two minutes when the record already exists.

  4. Match rooms to the Friday volunteer sheet

Friday the kids director updates a one-tab Google Sheet: expected kids per room from last month's average, named volunteers, and whether they are under their ratio (one adult to six kids in the younger room). If a room is short, she texts a backup from last quarter's list before Saturday. Check-in does not open a room that has no adult.

  5. Checkout is the matching claim tag

Pickup is the printed claim tag, not 'I know them.' The volunteer matches the code on the parent tag to the child tag. Exceptions (a grandparent on the allowed list) are already on the child record. They do not invent hallway exceptions on Sunday morning.

Which tools does this church use?

  • Planning Center Check-Ins Check-in

The door tool: search a parent, tap the kids, print nametags. Allergy and pickup notes print on the tag.

    $14/mo

  • Planning Center People Church database (ChMS)

Where kids and parent records live for check-in. Adults without kids stay in Realm and are not copied here.

    $0 (same subscription)

  • Google Sheets Spreadsheets

Friday sheet that compares expected kids to named volunteers in each room.

    $0

  • Realm Church database (ChMS)

Their membership system. Compared to Planning Center People twice a year so household names do not drift.

    $89/mo

Common questions

Why didn't they use Realm for check-in?

Realm already held pledging and the membership roll. Check-in there still meant a binder of allergy notes. They added Planning Center Check-Ins beside Realm rather than move the whole parish into a new system.

How long does check-in take on Sunday?

Under two minutes at the door when the child is already in Planning Center People. New families take longer the first week. They add the record before the child goes in, not after.

What about security tags?

The parent keeps a claim tag with a matching code. Pickup is the code, not a wave from the hallway.

What do you need before you start?

You need Planning Center Check-Ins (and People), two tablets or iPads with a label printer, and a Friday owner for the volunteer ratio sheet. If your church still uses another membership system (here: Realm), decide up front that check-in records live in Planning Center and membership stays where it is.

Why did this church build this workflow?

A child with a nut allergy went into the younger room on a Sunday the regular teacher was out. The note was in a binder on a hallway shelf. Nobody opened it. The child was fine. The kids director was not. Clipboards also meant they could not tell a visiting parent who was allowed to pick up a child without a hallway meeting.

The rule: if it matters in the room, it is on the tag. If they cannot print it, they do not rely on it.

What would they do differently next time?

They would have put check-in at the classroom doors on week one. The lobby station looked welcoming and created a line that made parents skip the tag. They would also have put the twice-yearly Realm-to-People name check on the calendar. They skipped the first one and spent a month matching “Jim” and “James” on the same household.

Friday and Sunday checklist

  1. Friday: update the ratio sheet from the four-week average. Name volunteers. Text backups if short.
  2. Confirm allergy and pickup fields print on a test tag before Sunday.
  3. Sunday: iPads at classroom doors, not the lobby coffee line.
  4. New families: create the People record before the child enters the room.
  5. Checkout is the matching claim code only. No hallway waves.
  6. After service: note no-shows and printer issues for Monday repair, not mid-service workarounds.

Common mistakes

  • One lobby check-in station. Lines form, parents skip tags, allergies stay in binders.
  • Relying on Realm for Sunday tags while allergy notes live elsewhere.
  • Opening a room with no named adult on the Friday sheet.

Field note after a lobby line

They put the only printer by the coffee pots for “visibility.” Parents skipped tags to catch the sermon. Allergy notes stayed in a binder. Moving stations to classroom doors cut the line and put medical notes where teachers actually look. Visibility at the lobby is not the same as safety in the room.

Field note after an allergy label miss

A substitute greeter skipped printing allergy labels during a rush. A snack volunteer almost served the wrong item. They now open Check-Ins fifteen minutes early and refuse to open the classroom door until labels print. Speed is not safety.

Field note after a late guardian update

A custody change sat in email while Check-Ins still listed the old pickup list. They now require same-week guardian edits before the next Sunday opens. Wristbands are only as true as Monday data.
